Third Party Order Platforms: How to Import Beanz and Faire Orders
RoasterTools supports importing orders from third-party sales platforms like Beanz and Faire so your team can handle fulfillment in one place, without manually re-entering orders.

Importing Beanz Orders
There are two ways to bring Beanz orders into RoasterTools. The method you use depends on what works best for you.
Option 1: Via a Shopify Commerce Connection
If your Beanz account is connected to Shopify, orders can flow into RoasterTools automatically through the Shopify commerce connection. Once Beanz orders are imported into Shopify, you can easily import the orders into RoasterTools. Orders appear on your Orders page just like any other Shopify order.

Option 2: Via ShipStation
You can also set up a dedicated "store" inside ShipStation specifically for your Beanz orders, then import those orders into RoasterTools for fulfillment.
- Shipping labels are pre-paid through Beanz/ShipStation - RoasterTools is used for fulfillment only
- All Beanz orders imported this way will map to a single customer in QuickBooks

Importing Faire Orders
Faire has a native ShipStation integration, which means you can set up a Faire store inside ShipStation and import those orders directly into RoasterTools.
- Shipping labels are pre-paid through Faire/ShipStation - RoasterTools is used for fulfillment only
- All Faire orders imported this way will map to a single customer in QuickBooks
Tip: ShipStation has their own help doc on connecting Faire to ShipStation — view it there for setup instructions on the ShipStation side.
Once your Faire store is connected in ShipStation, follow the import steps below.
How to Import Orders from ShipStation
Once your Beanz or Faire store is set up as a store in ShipStation, here's how to connect it to RoasterTools and import orders.
Step 1: Connect ShipStation to RoasterTools
- In ShipStation, generate your API key and API secret. (Here's how to do that in ShipStation.)
- In RoasterTools, go to Your Name > Integrations and select ShipStation.
- Paste your API key and API secret into the fields and click Connect.
Heads up: When pasting your API key and secret, make sure there's no extra space at the beginning of either field — that can block the connection.
Once connected, RoasterTools will display a list of the stores in your ShipStation account.
Step 2: Select Your Import Store
- On the ShipStation integration page, click Refresh Store List if your store isn't showing up.
- Check the box next to the store(s) you want to import from — your Beanz or Faire store.
- Click Update Settings.

Step 3: Mapping SKUs
In order to import your orders, we will need to map the sku from another platform to your RoasterTools variant.
Here are the steps:
- Download the product CSV from profile name > Settings > Import & Export > Products
- Add your external SKUs to the column "SKU1" (or add another sku column if that is already being used) in the CSV that you downloaded
- Save the updated doc as a CSV
- Upload the CSV back into RoasterTools on the same page that you downloaded from

A couple tips on doing this successfully:
- We recommend using Google Sheets to edit your CSV file, as some users report issues with other applications. Just be sure that you download as CSV.
- After adding SKUs, you can (but don't have to) remove any rows that do not require a SKU update. It speeds up the upload, and makes it clearer what you're updating.
- You can only have one external SKU per RT variant. If we are importing XYZ-BLEND, it can only be associated with one product/variant on RT.
- The alternate SKUs used in trade imports are case-sensitive
- If you need to have multiple external SKUs form different sources, then you can add a new column called 'SKU2', and keep adding as necessary. We most often see this when selling through multiple channels, and needing to have different SKUs on each.
Step 4: Import Orders
- Go to your Orders page.
- Click the Import Orders button to pull in orders from your selected ShipStation store.
If any orders fail to import, RoasterTools will send you an email letting you know. This almost always means a SKU in ShipStation doesn't exactly match a SKU in RoasterTools — double-check for typos or extra spaces.
Note: Orders imported via ShipStation will arrive at Ready status, even if your RoasterTools settings are configured to send orders to Pending.
Troubleshooting & FAQs
Q: What if my Faire orders aren't importing?
A: Faire orders can be integrated through two different methods, and troubleshooting depends on which method you're using:
If using Faire through ShipStation:
- Navigate to Integrations > ShipStation
- Verify that Faire is checked as an import source
- If Faire is enabled but not responding, it may cause delays in your import completion emails. Your orders from other active stores will still import normally (usually within 60 seconds), but the email notification may be delayed while the system waits for Faire to respond.
- We don't have visibility into the connection between ShipStation and Faire. If Faire isn't responding, you may need to investigate on the ShipStation or Faire platform side.
If using Faire through Shopify:
- Faire orders imported through the Shopify integration will appear as regular customer orders
- There is no special prefix or indicator that distinguishes Faire orders from other Shopify orders
- Any order display customization (like prefixes) must be configured on the Faire platform side
Q: Why don't my Faire orders show a special prefix or identifier?
A: When Faire orders come through ShipStation or Shopify integrations, they appear as standard customer orders in our system. Unlike some direct commerce connections, there isn't built-in functionality to automatically tag or prefix these orders. This is a limitation of how Faire shares order data through these platforms.
If you need to identify Faire orders specifically, you may need to:
- Use Faire's built-in tools to add identifiers before orders sync
- Manually tag orders after import
- Reference your Faire dashboard to cross-check orders
Q: Can I import from both a Beanz store and a Faire store at the same time?
A: Yes. You can select multiple stores in your ShipStation integration settings. RoasterTools will import orders from all checked stores when you click Import Orders.
Q: Will imported Beanz or Faire orders create separate customers in QuickBooks?
A: No all orders from a given platform will map to a single QuickBooks customer. Make sure that customer is set up in your books before you start importing.
Q: What happens if an order fails to import?
A: You'll get an email from RoasterTools flagging the failure. The most common cause is a SKU mismatch between ShipStation and RoasterTools. Check that the SKUs match exactly, including capitalization and spacing.
Q: How do I handle shipping Fiare and Beanz orders in RoasterTools?
A: You don't do anything regarding shipping these orders on the RoasterTools side. Labels for Beanz and Faire orders are pre-paid through their respective platforms. You're importing into RoasterTools for fulfillment tracking only. You do not export them to shipstation for shipping labels - the information will already be there.
